Responsibilities
The candidate will have the following specific responsibilities:
Providing full secretarial and executive administration service to the professional staff
Managing and co-ordinating all office reception functions, including phones, post and receiving visitors, ensuring a professional and welcoming experience
Ensuring the smooth running of the office and managing office supplies
Onboarding activities for clients, including bank account opening and managing tax registrations
Assisting professional staff with client transaction completion
Coordinating client meetings and making arrangements for printing, conference call facility, and distribution of information for meetings, etc.
Administrating of internal information systems used for client management and reporting
Managing and administrating of providers
Working with the wider team in the implementation of various ongoing projects and initiatives
Providing client support services on a day-to-day basis for a portfolio of corporate clients
General administrative and office management tasks
Key Requirements
Superb organisational and execution skills, with a structured approach to task completion
Excellent computer skills, including MS Office and Outlook
Ability to handle a busy workload and prioritise with a high level of attention to detail
Highly proactive, able to work autonomously, make decisions and use your own initiative and judgment
An outstanding flexible work ethic and a 100% commitment to being the best
At least 3 years administrative experience, ideally within professional services or financial services with client onboarding experience
Excellent team player – pragmatic, thorough, proactive and service minded
Strong interpersonal and communication skills, both written and verbal, with a bright and positive outlook
Please note that this role is based onsite full-time in our Dublin office.
